Job Description
Purpose
Provide administrative support to the COO and other senior management as requested.
Duties and Responsibilities
:
Maintain compliance with organizational policies and procedures.
:
Responsible for a wide range of support activities, including coordination of large and small meetings and events, calendars of multiple executives and relationships with other executive assistants both within and outside of the organization. Also responsible for leadership development and training activities, marketing initiatives and vendor management as requested.
:
Support work with members of the Board of Directors and Board Committees. Prepare Board materials and work with executives to assure timely distribution of accurate and well prepared documents.
:
Attend Board and Committee meetings as assigned. Manage meeting set up, food and room arrangements, attendance, meeting flow, presentations, document distribution and meeting minutes.
:
Maintain files and documents for assigned executives. Create documents, including correspondence and spreadsheets as necessary to support business needs.
:
Establish cross training and support relationships with administrative staff throughout the organization.
:
Prioritize and manage multiple projects simultaneously, meeting timelines and providing updates to stakeholders.
:
Respond to inquiries regarding corporate activities and operations and investigates and assists with resolving problems and complaints.
:
Use appropriate methods to clearly convey information to others in an engaging way, which helps others understand and retain the message.
:
Work with others respectfully and openly; provide help to achieve shared goals.
:
Anticipate and meet or exceed all customer expectations and proactively take responsibility for ensuring that interactions with the organization are positive as possible.
:
Take ownership of goals and outcomes; effectively and efficiently use available resources to successfully complete tasks.
:
Identify opportunities and take action to continuously improve processes. Understand and implement lean processes whenever possible.
:
Build and maintain relationships that are anchored in trust.
:
Utilize company preferred delivery services for outgoing mail. Distribute incoming and outgoing mail for designated executives
Required Education, Experience and Skills
:
Executive administrative support experience.
:
Ability to interact effectively with people at all levels. Ability to communicate the vision and goals for the organization and respond appropriately to questions in the absence of executive staff.
:
Ability to create accurate and professional business correspondence.
:
Proficient in Microsoft Office (Excel, Word and PowerPoint).
:
Ability to problem solve in a fast:paced environment.
:
Ability to handle sensitive and confidential information.
:
Ability to support Board of Directors interaction and Board committee work, particularly that of a financial nature.
Desirable Qualifications
:General familiarity with the managed care industry.
Physical Requirements
:
Must be able to work on a computer for extended period of time.
:
Ability to tolerate a moderate noise level within a cubicle environment.
:
Must be able to operate all office equipment including: computer, copier, printers, fax machine and phone.
Special Requirements
:
Complies with established Company policies, procedures and directives; and abides with applicable laws, statutes and regulations.
:
Compliance with regulatory and accrediting organizations (e.g., MDH, NCQA) and applicable laws and regulations (e.g., Affordable Care Act).
:
Adherence to internal quality control guidelines and processes (e.g., SOC1).
